If you're getting an error message from Gmail saying that the email signature is too long, your email signature may be over the 10,000 character limit, which is the number of characters allowed in your email signature by Gmail.

Here's what we suggest you do.

Count the number of characters in your email signature's HTML code

If you are an Email Signature Rescue member:

You can easily count the number of characters in your email signature's HTML code, by pressing the 'Count Characters' button available in the red menu on the right hand side, while editing any email signature.

If you are NOT an Email Signature Rescue member:

Either open your HTML file in Notepad or TextEdit and press Ctrl A (on PC) or Command A (on Mac) to highlight all of the code. Don't have Notepad or TextEdit? Open your email signature HTML file in your browser, right click on the browser window and press View Source.

Select all of the code using either Ctrl A (on PC) or Command A (on Mac). Then copy it using Ctrl C or Command C and paste it into the counter box using this free tool. (Or you can simply join Email Signature Rescue and get creating!)

If your email signature is over 10,000 characters:

You will need to use our free email signature browser extension to install your email signature or reduce your email signature to be under 10,000 characters (including HTML code).

Reduce the length of the HTML in your email signature

If for any reason you don't want to use our free browser extension to bypass the character limit, you will need to ensure your email signature's HTML code is under 10,000 characters. Here's some suggestions on how to achieve this.

Use Short Links

To reduce the amount of characters, turn on short links in Profile > Settings.

Use the read more link in your

If your signature has a long legal disclaimer, use the Read More link and link to an online version of your legal disclaimer to save on characters.

So instead of including this long disclaimer:

The information contained in this e-mail is intended only for the individual or entity to whom it is addressed. Its contents (including any attachments) are confidential and may contain privileged information. If you are not an intended recipient you must not use, disclose, disseminate, copy or print its contents. If you receive this email in error, please delete and destroy the message and notify the sender by reply email.

You could include this instead:

The information contained in this e-mail is intended only for the individual or entity to whom it is addressed. Read More.

Choose an email signature template with less characters

If you're using a design-rich email signature template, for example, the Understated or Market Me, consider changing to a different template that has less characters, like the Div Party, Neptune or Socialite.

It could be an error

If your signature is not over 10,000 characters, it may mean that there is some left over code in the Gmail Signature Editor box that needs to be deleted. You need to delete the entire email signature and start again, following these instructions:

  1. Open Gmail.
  2. Go to your signature settings and delete the entire signature. Make sure that the cursor is at the top of the box and there is nothing left in the signature box. You can also 'Ctrl A' inside the box and then press delete. There can be some code left in the signature box but you can't see anything. So just keep hitting that delete button until you cannot delete anything and the cursor is at the top left. Drag your mouse around the box to make sure that you cannot select anything in the box. When you are confident that there is absolutely nothing left in the signature box, move on to the next step.
  3. Open your Email Signature Rescue html file in your browser.
  4. Select All (Ctrl A) to select the entire signature. You must select all of the signature. Using Ctrl A ensures it is all selected.
  5. Right click on the selected area and copy the signature or (Ctrl C).
  6. Then paste the entire signature into the signature text box (Ctrl V) in Gmail.
